Using the web interface

The web interface allows you to access your data online at any time.

Login

Login to polybox using your ETH username and the password for web services (LDAPS). EMPA users log in using their registered mailadress and password.

Create or upload files and folders

A click to the “+” symbol below the blue bar opens a menu. You can create new folders or Collabora Office documents and upload files.

Edit files

Click the three dots next to a file. Now you can view details, download, rename or delete the file. In “details view” – “versions”, you can view and restore old versions (up to 7 days) of a file.

Recycle bin

Deleted files will be moved into the recycle bin folder for 7 days, which you access by clicking on “Deleted Files” at the bottom left.

User account

Click on your username in the upper right corner and select Settings from the drop-down menu. There you can make personal settings and see how much storage space is used.


Using the desktop client

The desktop client allows you to synchronize your files from the cloud locally to your PC or laptop.

Basics

A running desktop client is represented by a small cloud symbol in the task bar. In the “User Account” tab, you will get information on how much storage space you have left and about the local directories you have chosen for synchronization. By default, your polybox folder in the cloud will be synchronized with the local polybox folder.

In the “Activity” tab, you can view a history of uploaded and downloaded files.


Using the app

View, upload and share files on your smartphone or tablet is possible with the polybox app. Note: files are only stored locally on your device if you mark them as “offline available”.

Collaboration – sharing with polybox users

Files and folders can be shared with other polybox users. Sharing with groups is not possible.

Sharing via the webUI

Click on the sharing symbol [<] next to the object that you like to share. In the dialog box on the right side, enter the first 5 characters of the username you like to share with. Then a selection list appears. Scroll to the correct entry and click on the name to share the object.

Sharing via the desktop client

Open your local polybox folder and right-click on the object that you like to share. In the context menu, select “polybox – share …”. In the input field “Share with users or groups ..”, enter the first 5 characters of the username you like to share with. Then a selection list appears. Scroll to the correct entry and click on the name to share the object.

Sharing via the app

Select an object by pressing (android) or swipe (iOS). Touch the sharing icon [<] and then “Users and Groups +”. Enter the first 5 characters of the username you like to share with. Then a selection list appears. Scroll to the correct entry and select the name to share the object.

Don’t forget to specify whether a person can reshare, edit, delete or create objects.


Collaboration – sharing with external users

Files and folders can be shared with external users via a “public link”.

Create a public link via the webUI

Click on the sharing symbol [<] next to the object that you like to share. Select the “Public Links” tab on the right side and click to “Create public link”. A form appears. Set the otional link properties and finally click the button “Share”.

Create a public link via the desktop client

Open your local polybox folder and right-click on the object that you like to share. In the context menu, select “polybox – share …”. Change to the “Public links” tab and click on “create new”.

Create a public link via the app

Select an object by pressing (android) or swipe (iOS). Touch the sharing icon [<] and then “Public links +”. A form appears. Set the otional link properties and finally click the button “Save”.

Don’t forget to specify whether a person can reshare, edit, delete or create a shared folder.


Collaboration – Collabora Online

Collabora Online is a LibreOffice-based online office

With Collabora Online, the most common office documents (DOC, DOCX, PPT, PPTX, XLS, XLSX + ODF) can be viewed directly in the browser window. Simultaneous editing of a shared document in the browser window is an additional strong feature of Collabora Online.

Note – some special formatting of documents, created with Microsoft Office may be lost when edited with Collabora Online.
